How to add or remove dates in a Date Range

If you would like to add or remove dates that your club is open, the first thing to do is to view the club in the Kids Club HQ administration system. If you aren’t sure how to do this, please click here, follow the instructions then come back to this page.

If you haven’t yet got a date range set up, you can follow the instructions here to learn how to add a date range.

Once in the administration view for the club, select the date range that the date changes should take effect from in the drop-down:

With the date range selected, click on Date Range Actions… then Change Date Range Dates…

The Change Date Range Dates view will be shown which allows you to:

  • change the start or end date of the date range
  • select dates to remove from the date range

Adding dates to the start or end of the date range

If you choose to change the start date to an earlier date than currently set, the newly included dates will be automatically added to the date range and be available to book once you click Save Date Changes.

Similarly, if you change the end date to a later date, the dates will be automatically added to the date range and be available to book once you click Save Date Changes.

Removing dates from the start or end of the date range

If you choose to change the start date to a later date than currently set, the dates that are no longer to be included will be removed from the date range once you click Save Date Changes.

Similarly, if you change the end date to an ealier date, the dates that are no longer to be included will be will be removed from the date range once you click Save Date Changes.

If there are existing bookings which include any of the dates that you are removing, you will be prompted to confirm that you would like to remove these dates from the bookings before the dates are removed from the date range:

The confirmation message lets you know how many bookings are affected and how many of those bookings have been marked as paid (if any). If there are any bookings marked as paid, the difference in price after removing the dates will be added to account credit for the affected customer.

You may also choose whether booking update emails are sent to customers and, if so, you can add a custom message to those emails.

Removing dates from within the date range

You may also remove other dates from within a date range (e.g. a Bank Holiday that you forgot to exclude). This is done by selecting the date(s) in the calendar of the Change Date Range Dates view:

The dates selected will be removed from the date range once you click Save Date Changes.

If there are existing bookings which include any of the dates that you are removing, you will be prompted to confirm that you would like to remove these dates from the bookings before the dates are removed from the date range:
